Compliance Management System Generation 2™ (CMS G2TM)

The Database Module (DBM) has unique features that bring value and strong benefits to carriers. DBM offers access to robust compliance tracking including producer demographic information, insurance qualifications, licenses, appointments, continuing education requirements, securities registrations andmuch more. DBM has PDB import capabilities and can also receive FINRA® download information to make it easy to keep your securities information up to date.

License and Qualifications

Track state-specific insurance licenses and qualifications for individuals, agencies and companies. Compliance validations are built into the system to make sure the combination of license types and lines are accurate.

Appointments and Appointment Terminations

Track insurance appointments. Built-in logic ensures that appointments are only created when a valid license exists for the producer, and the company is authorized to provide the appointment type. Agency associations and Just In Time Appointments also are supported.

Hierarchical Views

Producer, agency and company profile records are associated with one another and unlimited associations are possible.

Unlimited Context – Sensitive Comments

An unlimited number of comments can be added to a specific license, qualification, or appointment, at a detailed level.

Individual, Firm and State Associations

Certain states allow producers to conduct business based on their associated firm's appointment. Track individual to firm associations with states and products the individual is licensed to sell.

Interfaces

CMS G2 incorporates two main modules: Employment Management Module (EMM) and the Database Module (DBM). EMM handles data collection and transaction processing. DBM is the database that manages the compliance details. In addition to the currently available interfaces, the CMS G2 roadmap also includes the following:

The Employment Management Module (EMM) is the hub of the leading compliance network. Connecting producers, agencies, banks/broker dealers and carriers, EMM has a powerful and flexible workflow engine. EMM accelerates the onboarding process for today’s complex distribution network.

  • Complete and authorize producer contracts
  • Online producer access through the Producer Portal

  • Create multiform bundles for producers
  • Initiate and process transactions for appointment request, termination request, nonresident license applications and FINRA® registrations

EMM offers carriers work queues to process requests from agencies, banks/broker dealers or directly from the producer. Carriers have access to Company Data Sheets (CDS) data online and other supporting documents. Configurable business rules ensure requests are completed properly.

Carriers have access to PDB queries, external web service look-ups and background investigations. EMM allows carriers to submit appointments and termination or nonresident license requests to the NIPRSM for processing. If a request is rejected or inaccurate EMM allows CDS and carrier-added data to be electronically returned to the producer.

EMM can be configured to set user roles and assign access to data and functionality. Additionally, EMM provides email notifications, including up-to-date requests throughout the workflow process.

The CMS G2 Producer Portal is the next step in completing the compliance network.

Producer Portal is the place where your producers can go to manage their records and compliance requirements. This can help you to streamline your compliance process and allow your producers to proactively communicate changes in their demographic information or compliance status.

When CMS G2 insurance companies, agencies and banks/broker dealers subscribe to the Producer Portal, producers can communicate with agencies electronically. Agencies can view compliance documents to eliminate delays in processing and forward the producer’s request to their carrier partners via our workflow system.

The producer can manage, view status and history, and respond to workflow action items. The producer can also initiate change of address forms.

The Education Module of CMS G2 helps you stay compliant by tracking each representative’s current requirements and progress through Firm Element, Regulatory Element curricula and CE programs. The Education Module is fully integrated with Kaplan learning platforms to offer the best-of-breed solution in compliance education. CMS G2 also has the ability to integrate with third party learning platforms.

  • DBM Export includes:
    • FINRA® Exam fields: Exam, Status, Grade, Score, Status Date, Exam Date, Exam Window Start Date, Exam Window End Date and Last FINRA® Update Date
    • FINRA® CE Requirements fields: CE Requirement, Window Start Date, Window End Date, Status, Completion Date and Result Code
    • Insurance CE fields: State, License, CE Period Start and End Date, Status, Status Date, Customer Verified and the Last Customer Verified User ID.
  • Email notifications are supported for Insurance CE Due, Insurance CE Incomplete and License Termination for non-compliance of CE, FINRA® CE Due and FINRA® Exam Window

Transaction Module

The Transaction Module handles electronic processing with the state including the submission of appointments, appointment terminations and eNRL transactions.

"Just In Time" Appointment Processing

The "Just In Time" Appointment Process is completed by the Transaction Module once released from the DBM for processing.

Key Functions:

  • Automatic cancellation of “Filed” appointment requests, based on pre-determined number of days (expiration)
  • Consolidated view of existing appointments and of appointments waiting on a confirmed sale
  • Email notifications for cancellations and submissions
  • View approved and pending appointments from the CMS G2 Producer Portal (with appropriate CMS G2 product licensing)
  • Track "Partner" relationships, which indicate who originated the appointment request

Standard PDV Service

You provide a file with producer information, including Social Security numbers, names, carriers, states and specific license information (i.e., license numbers, insurance lines and renewal dates). We will match this information with the PDB and report any discrepancies.

Discrepancies found are provided in an easy-to-read report that shows the detail of the data disparities.

Deluxe PDV Service

The Deluxe Service provides the matching described in the Standard Service, but also checks the PDB to see if any additional producers are appointed with your company whom you did not provide in your initial data file. If so, the license and appointment data is provided for your review. For producers in your initial file who may be missing information which is maintained on the PDB, the Deluxe Service will provide that data in a report.
